As long as no one objects, a form with a few phone photos is enough. The trouble only starts in a dispute: a scratch that "was already there". A contested mileage reading. A missing spare key. Suddenly it is one word against another — and because the photos carry no reliable timestamp and the PDF can be edited after the fact, nothing can be proven.

CarlogsPro consists of two interfaces and a shared data foundation. In the frontend — the mobile app — drivers and employees capture every handover directly at the vehicle. In the Cockpit — the dashboard — fleet managers steer the entire fleet. Between them lies the vehicle record, where every capture comes together with tamper-evidence.
Capture in the frontend (the app)
The employee or driver opens the app on a phone or tablet and scans the VIN or the license plate — the vehicle data is pre-filled automatically. A guided flow asks for mileage, fuel level, damage on the body diagram and a photo walkaround; the AI checks every shot for sharpness and exposure directly on the device. Driver, customer and optionally a witness sign, the record is sealed with SHA-256 and sent automatically to both parties. Everything also works offline and syncs as soon as there is a connection again.
Filing in the vehicle record
Every completed record is appended as an immutable event to the vehicle's record (by VIN) and placed into a hash chain. This creates the gapless history: every handover, every damage, every repair, every return — chronological, with original photos, timestamps and signatures. The record is the shared, indisputable truth about the vehicle.
AI Comparison: Before/After
When a vehicle is captured again, the AI automatically compares the fresh photos with the last confirmed condition of the same area from the record. It flags new deviations as a "Change Event" — with a Confidence (how certain the detection is) and a Risk score (how economically significant). The employee decides on site: confirm, unsure or no damage. This way new transport damage is attributed to the correct responsibility period before a dispute arises — and detection improves with every decision.
Control in the cockpit (the dashboard)
All records together form the picture of the fleet. The Cockpit condenses them for fleet and service managers: open deadlines (TÜV, UVV, leasing, inspection), damage costs and cost per kilometer, risk hotspots (conspicuous vehicles, locations, service providers) and the responsibility attribution of new damage. Every metric is traceable down to the original photo — no score as a black box.
VRIS: from documentation to prediction
On this data foundation, VRIS (Vehicle Risk Intelligence) identifies patterns across the entire fleet: which vehicle types, locations or service providers cause an above-average number of damage cases? This produces explainable risk scores, benchmarks and alerts — and, going forward, damage forecasts and prevention recommendations. VRIS answers not only "What happened?" but "What is likely to happen — and how do we prevent it?".
Why nothing can change unnoticed.
The hash chain
On completion, a unique SHA-256 fingerprint is computed from the entire content of a record — texts, values and all photos. If even a single pixel or character changes, an entirely different fingerprint results.
Every new record of a vehicle additionally contains the fingerprint of the previous one — creating a chain. The advantage: you verify not just a single document, but the entire history. If someone were to alter, delete or insert an old record after the fact, the chain would no longer match — the manipulation is immediately noticed.
This makes it provable: completeness (nothing is missing), order (nothing was reordered) and integrity (nothing was touched after the fact) — without having to trust a central authority.
The QR verification
Every sealed record carries a QR code — on the PDF and in the digital receipt. Whoever scans it (customer, lessor, appraiser, or in a dispute even a court) arrives at a public verification page.
There, the document's current fingerprint is compared with the stored original fingerprint. If both match, it is confirmed: the document is genuine and unaltered. If something was manipulated, the fingerprints differ — the forgery is detected.
Verification is possible without login, identical for both parties, and delivers independent proof — no one has to "take the other's word". Both sides receive the same verified document automatically by email.
